Welcome to your Exams update

We hope you’ve had an enjoyable half term, safe in the knowledge that your entries were submitted, leaving you one less job to do!

Last month you may have joined us for our online training about entries, or watched our video designed to support you through the entries period. We’ve had some great feedback from those of you that were able to take part – thank you. This month we’ve additional support sessions on a number of topics, including e-Submissions: Centre marks submission and Coursework, you can sign up for these on our website.

As ever, please let us know if you have any feedback about the support we offer using the survey below. Tell us if you want us to discuss a particular topic during our additional support sessions or, if there are any other areas where we can be of help.

Important information about summer 2016 entries - act now

The deadline for submitting summer series 6A16 and 6G16 entries was 21 February. If you haven’t already done so, please submit your completed entries files to us as soon as possible, so that we can allocate the correct examiner and moderator and to ensure you receive the correct exam materials at the right time.

Read our email sent to all exams officers to find out how to check if we’ve received your main entry file, submitting any amendments and what happens next.

Carry forward of marks

Please refer to our carry forward of marks page to see which subjects allow marks to be carried forward.

Late amendments and charges

You can amend existing student entries until 21 April 2016 without incurring an additional charge. Any entries for new students submitted after 21 February will be charged a late entry fee up to 21 April when a very late entry fee will be incurred.

Transferred candidates – important information

The closing date for transferred candidate applications for summer 2016 is 18 April.

If you need to tell us about any amendments after you’ve submitted your application (tier changes, additional units and withdrawals), please email transferredcandidates@aqa.org.uk so that the host centre is sent the correct question papers, attendance lists, and examiner labels without delay.

It’s important that the exam scripts have the centre and candidate number of the entering school/college. Any incorrect information can significantly delay students results.

We cannot guarantee transfer arrangements for applications received after 18 April. Applications received after this date will incur a late fee. Please see pages 6 and 64 of the AQA Entry fees for information.

Examiner address labels

If you receive your examiner address labels by email, we’ll send these to you at least 24 hours before the day of the exam. Please tell us as soon as possible if your email address has changed since the last exam series.

If you are missing any exam day labels, you can now request these via our new online form. The form can be found on our send scripts for marking pages and is part of our commitment to you to improve our service.

For more information about dispatching exam scripts and the yellow label service, please visit our website.

Submitting coursework and controlled assessment marks for the summer 2016 series

During the winter 2015/16 exams series, we piloted a new e-AQA system e-Subs: Centre marks submission (CMS) for schools and colleges to submit their centre assessed marks online to us and to the moderator. We’re now offering this service for the summer series.

If you’re entering students in summer 2016, you’ll need to submit your centre marks for most subjects online, either through CMS or EDI. We won’t send you any paper mark forms or labels.

Please visit our submit marks page to see which subjects will continue to use the paper-based process, whereby we’ll still send you centre marks forms and labels.

Next steps

The system will be available to submit summer 2016 marks from mid-April. We’ll contact you again over the next couple of weeks, so you can start to submit marks by the May deadlines.

New to e-AQA Centre Mark Submission (CMS)?

Many exams officers using CMS have told us they found the new system quick and easy to use, with the added benefit that teachers can use it too.

If you’re using CMS for the first time in summer 2016, we’ve the following tips and guidance, to help you in getting started:

  • find our e-learning tutorials and FAQs on our website
  • encourage teachers also using the system to check they have an e-AQA user name and password; you’ll be able to grant them access to Centre mark submission when the system is available to receive your students’ marks
  • sign up to one of our exams officers e-Submission webinars taking place in March and April (for schools/colleges wanting a further overview of the system and having already accessed the e-learning modules on our website.)

JCQCIC reminder - instructions for conducting examinations

Schools/colleges must ensure they are familiar with the instructions provided in the JCQCIC Instructions for conducting examinations (ICE) booklet when entering their students.

Please also note:

Paragraph 1.9, page 6 and paragraph 11.1, page 29: to avoid potential breaches of security an additional member of centre staff must check the time, date and any other paper details before a question paper packet is opened.

Exam markers wanted to mark summer A-levels

Please feel free to share the following with your teaching colleagues who may be interested in marking for us.

Examiner recruitment is currently at its peak and we would love to invite teachers to apply to mark. It’s a great way to have insight into the assessment process and inspire their teaching.

Teachers come back year after year because of the benefits they get from exam marking. Here is a video recorded by a practising teacher who is one of our exam markers to tell you more about the benefits of exam marking.

We are particularly looking for teachers of A-level Sociology, English, Geography and Economics.

To apply teachers need to visit our website.

New tracking system for secure materials

In January 2016, we introduced a new tracking system that allows us to send you automated emails to update you on the order status of your non-secure items.

We’re delighted to let you know that for summer 2016, this service will also be available for any secure items, so you’ll know when your exam papers have been sent.

You will receive your automated emails from: 'AQAorders@linney.com' (this is a Do Not Reply mailbox and is unmonitored).

To ensure you receive the benefits of this new service, please make sure that your NCNR (National Centre Number Register) email address is up-to-date as we will be using this as a main contact address for most important communications.

For further information about the NCNR, please refer to the JCQCIC General Regulations for Approved Centres.
